TANMIDA ("we", "us", "our") operates the TANMIDA Connect membership management system ("the Service"), available as a website and as an installable app. This policy explains what information we collect from members and applicants, why we collect it, and how it is protected. 1. Information We Collect

When you apply for or hold TANMIDA membership, we collect:

• Identity information: full name, father's/husband's name, date of birth, gender, blood group, education.
• Contact information: mobile number, alternate mobile, email, residential and business address.
• Government ID: Aadhaar number and a copy of your Aadhaar card, submitted solely to verify identity for membership registration.
• Business information: company/brand represented, business name, GST number, occupation, year established.
• Documents: photograph, signature, Aadhaar copy, GST certificate.
• Nominee and emergency contact details for insurance and welfare purposes.
• Insurance details (policy number, provider, status) where applicable, either entered by the association office or, if you choose to connect DigiLocker, fetched directly from your own DigiLocker account with your explicit consent at the time of the request.

2. How We Use Your Information

• To process your membership application and verify your identity and business details.
• To generate your membership certificate and ID card, including a QR code that allows anyone to verify your active membership status.
• To administer insurance nominee records and renewal reminders.
• To communicate with you about your membership, meetings, circulars, and events.
• To maintain internal records required for the association's functioning as a registered society.

3. Aadhaar Data Specifically

Your Aadhaar number and Aadhaar document copy are collected only for identity verification during membership registration and are visible only to authorized association administrators who verify applications. We do not use your Aadhaar number for any purpose beyond membership verification, and we do not share it with any third party except where you separately and explicitly authorize a specific action (for example, connecting your own DigiLocker account to fetch your own insurance policy — a process which happens directly between you and DigiLocker; TANMIDA never sees your DigiLocker password).

4. Data Storage and Security

• All data is stored on the association's own hosted server, protected by password hashing, access controls, and role-based permissions.
• Uploaded documents are stored in a location that is not directly browsable and cannot be executed as code.
• Access to member records is restricted to authorized office bearers and approvers.
• All administrative actions are logged for audit purposes.

5. Data Sharing

We do not sell or rent your personal information. We do not share your data with third parties except: (a) with your explicit consent (e.g. the optional DigiLocker connection you initiate yourself), (b) where required by law, or (c) with service providers strictly necessary to operate the Service (e.g. SMS/email delivery, if enabled by the association).

6. Your Rights

You may request to view, correct, or request deletion of your membership data by contacting the association office using the details below. Certain records may need to be retained where required by the Tamil Nadu Societies Registration Act or other applicable law.

7. Children's Data

The Service is intended for adult business dealers and is not directed at children. We do not knowingly collect data from anyone under 18.

8. Changes to This Policy

We may update this policy from time to time. Material changes will be posted on this page with an updated date.
